Privacy Policy

Departure Ready ("we", "us", or "our") operates the Departure Ready iOS app and the website at departureready.travel. This Privacy Policy explains what personal information we collect, why we collect it, how we use it, and the choices you have.
1. Information We Collect
Email address (hashed) — When you register, you provide your email address. We immediately run it through a one-way SHA-256 hash to generate your unique 6-character code and forwarding address. We do not store your email address in plain text anywhere in our system. The hash cannot be reversed to recover your address.
Forwarded email content — When you forward a travel confirmation email to your personal forwarding address (e.g., abc123@departureready.travel), our system receives the email and passes the body text to Anthropic's Claude API for parsing. The raw email text is not permanently stored; it is discarded after parsing is complete.
Structured trip data — The output of parsing — flights, hotels, car rentals, cruise segments, and similar travel details — is stored in our database and linked to your account via your hashed code. This is the data that powers your itinerary.
Device push token — If you grant notification permission in the iOS app, we store your Expo push notification token so we can send you trip reminders and alerts. We do not collect any other device identifiers.
Subscription status — If you purchase a Departure Ready annual subscription through Apple In-App Purchase, we receive a receipt from Apple confirming your subscription is active. We do not receive or store your payment card information; all billing is handled by Apple.
2. What We Do Not Collect
- Your full name or phone number
- Your payment card or banking details (handled entirely by Apple)
- Your precise or approximate location
- Browsing history, cookies, or advertising identifiers
- The content of emails other than those you explicitly forward to your Departure Ready address
3. How We Use Your Information
- Powering your itinerary — Structured trip data is used exclusively to display your itinerary in the app and on the web.
- Email parsing — Forwarded email text is sent to Anthropic's Claude API to extract structured travel details. No other use is made of this content.
- Push notifications — Your push token is used solely to deliver trip-related alerts you have opted into.
- Subscription verification — Apple receipt data is verified with Apple's servers to confirm an active subscription before granting premium access.
- Service improvement — Aggregate, anonymised usage metrics may be used to improve the service (e.g., parsing accuracy). No individual data is used for advertising.
4. Sharing of Information
We do not sell, rent, or trade your personal information. We share data only with the third-party services necessary to operate Departure Ready:
- Anthropic — Email body text is sent to the Claude API for parsing. Anthropic's Privacy Policy governs their handling of this data.
- Mailgun — Handles inbound email receiving and routing. Mailgun Privacy Policy.
- Railway — Hosts our servers and database. Railway Privacy Policy.
- Expo / Expo Push Notification Service — Delivers push notifications to iOS devices. Expo Privacy Policy.
- Apple — Processes in-app subscription payments and provides receipt validation. Apple Privacy Policy.
We may disclose information if required by law, court order, or to protect the rights and safety of our users.
5. In-App Purchases & Subscriptions
Departure Ready offers an auto-renewable annual subscription ("Departure Ready Annual") purchased through Apple's App Store. Payment is charged to your Apple ID at the time of purchase. The subscription renews automatically unless cancelled at least 24 hours before the end of the current period. You can manage and cancel your subscription at any time in your iOS device's Settings → [Your Name] → Subscriptions.
We never see your credit card number or Apple ID. Our only involvement in the payment flow is verifying with Apple that a valid subscription exists for your account.
6. Data Retention & Deletion
Your trip data is retained as long as your account is active. If you stop using the service and wish to have your data deleted, email support@departureready.travel from any address and include your 6-character code. We will permanently delete all associated records within 30 days.
Because your email address is stored only as a one-way hash, we cannot look up accounts by email address — your code is the only identifier we have for your account.
7. Security
All data is transmitted over HTTPS/TLS. Your itinerary is only accessible to someone who knows your 6-character code — it is not publicly indexed or discoverable. We follow industry-standard practices for database access control and server security.
No method of transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately and we will delete your data.
8. Children's Privacy
Departure Ready is not directed at children under the age of 13 (or 16 in the European Economic Area). We do not knowingly collect personal information from children. If we become aware that a child has provided us with personal information, we will delete it promptly. If you are a parent or guardian and believe your child has submitted personal information, please contact us.
9. Your Privacy Rights
All users — You may request deletion of all data associated with your code at any time (see Section 6).
California residents (CCPA) — You have the right to know what personal information we collect about you, to request deletion, and to opt out of the sale of your personal information (we do not sell personal information). To exercise these rights, contact us at support@departureready.travel.
EEA / UK residents (GDPR / UK GDPR) — Your rights include access, rectification, erasure, restriction of processing, data portability, and the right to object. Our lawful basis for processing is the performance of the service you have requested. To exercise your rights, contact us at support@departureready.travel. You also have the right to lodge a complaint with your local supervisory authority.
10. Changes to This Policy
We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will make reasonable efforts to notify users (e.g., via an in-app notice). Continued use of the service after changes take effect constitutes acceptance of the revised policy.
